Recreation Center Rental Agreement

A renter shall be bound by all park rules and regulations and all applicable City Ordinances fully as though the same were inserted in this Rental Agreement.

The renter shall be liable for any loss, damage or injury sustained by any person whatever by reason of the negligence of the person or persons to whom such rental agreement is issued.

The above-named organization or individual adult whose signature is affixed here assumes full responsibility for all property and fixtures to the extent that the center will be placed in the same order as it was just prior to the above group’s use of it.

By participating in the event held at The City of Florence’s facilities, the above-named organization or individual adult acknowledges and agrees to the following:

Assumption of Risk: I understand that my participation in the event involves certain risks, including but not limited to bodily injury, property damage, and other dangers associated with the activity. I voluntarily assume all risks related to my participation.

Waiver of Liability: In consideration of being allowed to participate in the event, I hereby release, waive, discharge, and covenant not to sue The City of Florence, its officers, employees, agents, and volunteers from any and all liability, claims, demands, actions, and causes of action whatsoever arising out of or related to any loss, damage, or injury, including death, that may be sustained by me, or to any property belonging to me, while participating in the event.

Indemnification: I agree to indemnify and hold harmless The City of Florence its officers, employees, agents, and volunteers from any loss, liability, damage, or costs, including attorney fees, that they may incur arising out of or related to my participation in the event.

Emergency Medical Treatment: In the event of an emergency, I authorize The City of Florence and its representatives to obtain medical treatment for me if necessary. I understand that I am responsible for any medical expenses incurred.

Photographic Release: I consent to the use of any photographs, video recordings, or other media taken during the event for promotional purposes by The City of Florence.

Binding Effect: This waiver of liability shall be binding upon my heirs, executors, administrators, and assigns.

I have read this waiver of liability, fully understand its terms, and voluntarily agree to be bound by its provisions. I acknowledge that I am signing the agreement freely and voluntarily, and intend by my signature to be a complete and unconditional release of all liability to the greatest extent allowed by law.

Rules for Recreation Center: Failure to abide by any of the below rules may cause rentals to be immediately canceled and jeopardize future rentals.

Rental Rules:

  1. Rentals may be reserved Monday-Saturday 8:00am-10:00pm around regularly scheduled programing, and on Sundays 1:00pm-5:00pm, excepted for designated holidays. A Rental Agreement must be completed, signed and fee paid two weeks in advance of rental date to reserve a Recreation Center.
  2. No refunds for cancelled reservations. Reservations may be rescheduled during the current calendar year, if notified at least 2 weeks prior to the reserved date.
  3. Recreation Centers may be rented for private parties/groups only. Events open to the public are not permitted unless hosted by the Parks and Recreation Department.
  4. Use of a Recreation Center for monetary gain is not allowed. This includes charging admission, selling tickets or soliciting money in any manner at the door or prior to the event.
  5. The Recreation Center supervisor reserves the right to cancel any rental/event due to inclement weather or an event that does not comply with Parks and Recreation Department policy or City Ordinances.
  6. The Recreation Centers will supply tables and chairs as available. Arrangements can be made with the center at the time of making the reservation.
  7. There are capacity restrictions on all Recreation Centers; check with the Recreation Center Supervisor for restrictions on the center being rented.
  8. Recreation Center rental times are to including all preparation, setup and clean up. Rental is limited to the scheduled time on the Recreation Center Rental Agreement.
  9. Any event requiring security must be held at the Coliseum.
  10. An employee will be assigned to the facility during the rental and will open the facility 15 minutes before the first hour reserved.

Usage Rules:

  1. Controlled substances are NOT allowed. No smoking, any other form of tobacco, vaping, alcohol or controlled substances are allowed in the Recreation Centers or within 50 feet of the building.
  2. No animals allowed inside the Recreation Centers unless in accordance with regulations for the Americans Disabilities Act (ADA).
  3. All decorations must be completely removed. Tape must not deface or cause damage to floors, walls, tables, chairs and must be completely removed to include glue or residue. The use of glitter or confetti is NOT allowed.
  4. The use of fire, pyrotechnics or fog producing devices is not allowed. Candles allowed on a cake only, candles may not be set up on tables as decorations. Food warmers are allowed.
  5. No Inflatables or riding toys allowed.
  6. Kitchens are to be used to reheat food only. No cooking or frying allowed.
  7. Groups are required to have at least 1 chaperone for every 15 people under the age of 18yrs old. Chaperones must be 21 years of age or older.
  8. Equipment and/or large decorations etc. must be approved by the Recreation Supervisor before bringing into or using inside the Recreation Center.
  9. Recreation Center Rental Agreements are for the social room, restrooms and kitchen only. All other areas of the building and grounds are not included in this agreement.
  10. All areas must be left clean and orderly.
  11. All guest must be out of the center at the end of the scheduled rental time.
  12. No dances or DJ’s allowed at the recreation centers.
  13. No grills allowed.
  14. If Pinatas are used, plastic must be place under the Pinatas to protect the floor, all candy must be cleaned up.
  15. The individual signing the reservation form will be held responsible for any repair or replacement of any equipment that is damaged, misused, or broken during the reserved hours.
  16. No profanity or fighting is allowed in any Park and Recreation Department Facility.
  17. No alcoholic beverages or controlled substance allow at the recreation centers.
